CSA farm software: shares, box changes and delivery

$30–$399 / monthpublished plan rates · not a complete billSee price evidence ↓

Compare CSA platforms by member choice, skip and vacation rules, harvest-aware packing, pickup changes and seasonal billing. CSAware, Local Line and GrownBy document different farm-share workflows. Run one weekly order cycle from member edit to final pack list before choosing.

A CSA sale is a season-long relationship, not a one-time cart. Members may choose or swap products, skip a week, change pickup locations or pay in installments while harvest and inventory change. Test the weekly close from member edit through packing and delivery.

The cost case · CSA & farm share programs

What the software costs—and where your margin can improve.

Start with the bill and one costly workflow. The comparison is straightforward: recurring software costs you can actually remove, minus the hosting, AI, integrations and upkeep a replacement needs. Time saved is a separate gain, and only becomes margin when the business can use it.

Current software · researched prices

CSA & farm share programs software runs $30 to $399 a month across the 3 vendors that publish prices. A website-related price point in the research is $29 a month; check whether it is a plan rate or a separate fee. 4 of 8 vendors have quote-only pricing in our research.

Published starting prices are not a like-for-like quote. Confirm the plans, seats, add-ons, payment fees and setup your workflow requires.

A focused tool · under your control

Pay for the parts this workflow needs.

One time: map the rules, build, test edge cases, move only the data needed and train the people who use it.

Each month: affordable hosting, coding-AI usage, any database or integrations, backups and maintenance. Price these for the actual application; a $0 or low hosting tier is not the total cost.

You control: the code repository, domain, data and service accounts. Someone on your side owns updates, access, recovery and support.

MarginVendor costs removed − the replacement’s full monthly operating cost.
Admin timeFirst target: Season enrollment and share cap. Create weekly and biweekly share types, a member limit and add-on shares. Confirm inventory and pickup schedules apply to the right group.
Business valueDurable, documented margin can strengthen a business; buyers still assess risk and whether someone else can run the workflow.

The exact replacement cost depends on scope and usage. Bring your invoice and one frustrating task; we’ll map what can stay, what could be owned and the costs to verify.

What mattersAsk thisThen demonstrate this
Share enrollment and capacityCan share type, season dates, pickup group, add-ons and capacity be controlled separately?Create weekly and biweekly shares with a limited number of spots. Try to exceed capacity and add an add-on without a primary share.
A member change after signupWhat do skip, swap, vacation and pickup-change actions do to the member's balance and box?Swap an item, skip a week and move the pickup location before and after the weekly cutoff. Compare credit and pack output.
Harvest-aware packingDo available harvest quantities constrain member choices and the final pack list?Reduce the stock of one item after members choose their boxes. Check substitutions, stock allocation and route-sorted packing list.
Seasonal payment reconciliationDo deposits, installments, skipped distributions and credits reconcile to the share total?Add a seasonal deposit and installment plan, then apply a vacation credit. Reconcile collected, outstanding and credited balances.

Run one fictional CSA week from signup to pickup

Use synthetic shares and produce counts. These tests evaluate system behavior; they are not farm trial results.

  1. Set up a weekly fixed share and a biweekly member-choice share, each with a pickup location and capacity.
  2. Let a member swap produce and another claim a vacation week before the cutoff. Review credits and available stock.
  3. Reduce harvest quantity for one selected item. Generate the pack list and inspect substitutions, pickup grouping and labels.
  4. Apply a deposit, installment payment and vacation credit. Reconcile member balances with the weekly delivery list.

Move member choices, credits and future distributions together

Request exports of member accounts, share types, schedules, future distributions, per-week product choices, skip/vacation credits, pickup and delivery locations, add-ons, inventory, deposits, installment plans, payments and refunds. Preserve stable member/share IDs and confirm each future box maps to its distribution and pickup point. Reconcile outstanding balances and credit ledgers separately from sales totals. Ask whether notes, preference history and email consent transfer.

Where a first build could stop

A custom farm storefront or pickup-location finder may complement a CSA platform. Subscription billing, harvest constraints, per-member box choices, seasonal credits and weekly pack generation are operational records; keep them in a tested farm system until a replacement proves the full weekly cycle.

What does the software cost?

CSA & farm share programs software runs $30 to $399 a month across the 3 vendors that publish prices. A website-related price point in the research is $29 a month; check whether it is a plan rate or a separate fee. 4 of 8 vendors have quote-only pricing in our research.

Where the money goes

Most CSA platforms take a percentage or hold back the subscription feature. CSAware charges a percentage of delivery revenue, and we couldn't verify its current rate. Local Line leaves recurring orders off its $109 Core plan unless you add Subscriptions for $29 or move to Premium at $199. GrownBy's CSA plan is $50 a month plus a 2% co-op fee, and Barn2Door starts at $119 a month plus $399 setup.

What to keep

If you take SNAP/EBT through GrownBy, keep that in place. Card processing stays with a processor either way.

What to verify

Ask providers to demonstrate this workflow using your edge cases. Check which plan includes each step, what costs extra and how your records can be exported.

Questions owners ask

What should I test in CSA share software?

Run a full distribution: enroll a member, record a swap or skip, apply the harvest limit, generate the pack list and reconcile payment or credit.

Can CSA software support both fixed and member-choice boxes?

Some farm platforms support both, but rules differ by share and season. Test item limits, availability, member edit cutoffs and how choices reach harvest and packing records.

What does CSA software need to handle?

Test seasonal enrollment, share schedules, member choice or swaps, skipped weeks, vacation credits, pickup/delivery locations, packing lists and installment balances. Farms with wholesale or retail sales should also check shared inventory rules.

How should a CSA handle member skips and vacation weeks?

Define the cutoff, credit or reschedule rule, then follow one member change through inventory, packing, delivery and billing. Do not assume a calendar pause updates every downstream record.

How much does CSA software cost?

Published prices run from GrownBy's CSA plan at $50 a month plus a 2% co-op fee to Local Line Premium at $199 a month. CSAware charges a percentage of delivery revenue, and we couldn't verify its current rate.

Does Local Line include CSA subscriptions?

Not on Core. The $109 Core plan needs the $29 Subscriptions add-on, or you move to Premium at $199 a month, which includes subscriptions and recurring orders.

How much does Barn2Door cost?

Barn2Door Entrepreneur is $119 a month with a $399 setup fee, Business is $159 with $499 setup and Scale is $299 with $599 setup. Payment processing comes on top.
