Campground software: reservations, site maps and seasonal stays

$99–$299 / monthpublished plan rates · not a complete billSee price evidence ↓

Choose campground software by how it handles physical site inventory, guest-selected locations, seasonal billing and reservation changes. CampLife, Campspot and RoverPass describe campground-specific tools; compare them with a nightly and a long-term stay from your park.

A campground sells stays for specific sites, dates and lengths. Gaps between bookings, guest site preferences, seasonal residents and add-ons all affect usable inventory. Compare how the live reservation map connects to the front desk and the guest's confirmation.

The cost case · Campgrounds & RV parks

What the software costs—and where your margin can improve.

Start with the bill and one costly workflow. The comparison is straightforward: recurring software costs you can actually remove, minus the hosting, AI, integrations and upkeep a replacement needs. Time saved is a separate gain, and only becomes margin when the business can use it.

Current software · researched prices

Campgrounds & RV parks software runs $99 to $299 a month across the 5 vendors that publish prices. The research includes software with a bundled website; confirm any hosting or setup charges. 8 of 13 vendors have quote-only pricing in our research.

Published starting prices are not a like-for-like quote. Confirm the plans, seats, add-ons, payment fees and setup your workflow requires.

A focused tool · under your control

Pay for the parts this workflow needs.

One time: map the rules, build, test edge cases, move only the data needed and train the people who use it.

Each month: affordable hosting, coding-AI usage, any database or integrations, backups and maintenance. Price these for the actual application; a $0 or low hosting tier is not the total cost.

You control: the code repository, domain, data and service accounts. Someone on your side owns updates, access, recovery and support.

MarginVendor costs removed − the replacement’s full monthly operating cost.
Admin timeFirst target: Site and stay inventory. Map each site type, hookup, capacity, date range and maintenance block. Verify one physical site cannot be booked twice through map and grid views.
Business valueDurable, documented margin can strengthen a business; buyers still assess risk and whether someone else can run the workflow.

The exact replacement cost depends on scope and usage. Bring your invoice and one frustrating task; we’ll map what can stay, what could be owned and the costs to verify.

CampLife documents grid/map reservation management, rules for availability and payments, self-service guest edits, mobile check-in and recurring billing.

Before choosing

Reserve a chosen site, change dates, then add a seasonal stay. Confirm the site remains unavailable to conflicting nightly bookings and the account balance updates.

You want to evaluate a campground booking map with guest self-service and operational tools.

Campspot documents interactive park maps, real-time inventory, date changes and cancellations, add-ons and online check-in.

Before choosing

Questions to ask and a concrete way to test the answer
What mattersAsk thisThen demonstrate this
One physical site, one valid reservationDo map and grid views share live availability for the same physical site?Hold a site on the map, then try to book it through staff search and online booking for the same dates.
A saleable gapHow do minimum stays and arrival/departure rules affect a one-night gap?Place adjacent reservations that leave a one-night opening. Check whether each site category is offered or blocked under your rules.
Seasonal stay alongside nightly inventoryCan a long-term guest, recurring charge and utility amount be managed without making unrelated sites unavailable?Add a seasonal reservation and a sample meter charge. Check billing dates and the nightly calendar for other sites.
A controlled changeWhat happens to availability, fees and guest notices when a confirmed stay changes or cancels?Move dates, then cancel a separate reservation. Reconcile deposit treatment, released nights and confirmation messages.

Your demo script

Bring a peak weekend and a seasonal guest

Use fictional reservations to test inventory rules. This is a proposed demo script, not a vendor trial result.

  1. Create one RV site, one tent site and one cabin with distinct attributes and capacity.
  2. Book the RV site for adjacent weekend stays that leave a one-night gap. Test the minimum-night rule in both guest and staff views.
  3. Add a seasonal guest to another site with recurring billing and a utility charge. Confirm it does not block the wrong inventory.
  4. Move one confirmed booking and cancel another. Compare availability, deposit or fee treatment and guest notices.

Move the inventory model and future stays together

Request exports of site IDs, site types and attributes, rate rules, future and historical reservations, guest records, add-ons, deposits, refunds, seasonal agreements, recurring charges, utility balances and payment references. Confirm each future stay remains attached to its intended site and rate. Reconcile outstanding deposits and seasonal balances; preserve signed agreements and arrival messages separately if the export omits them.

Where a first build could stop

A custom website layer could improve park information, inquiry handling or a connection into the reservation system. Do not replace site allocation, payment capture or seasonal billing until the system's data export, payment reconciliation and double-booking behavior pass live acceptance tests.

What does the software cost?

Campgrounds & RV parks software runs $99 to $299 a month across the 5 vendors that publish prices. The research includes software with a bundled website; confirm any hosting or setup charges. 8 of 13 vendors have quote-only pricing in our research.

Where the money goes

Phone reservations on CampLife are free; online ones cost $3.50 each on both Standard and Premium, which starts at $249 a month. Gate Integration is $199 a month, and SMS starts at $5. RoverPass has a $99 monthly minimum plus a per-reservation fee from $1.50, and Hipcamp takes 15% of each booking (12.5% for PMS-integrated parks).

What to keep

Keep the gate integration and whatever runs your site map and reservations. If you're on Campspot, there's no invoice to cut: the website is free, the booking fee lands on the guest, and its marketplace sends bookings a standalone site won't.

What to verify

Ask providers to demonstrate this workflow using your edge cases. Check which plan includes each step, what costs extra and how your records can be exported.

Questions owners ask

How do I prevent double bookings at a campground?

Use one inventory record per physical site across online and staff bookings. Test the same dates through each booking path, including holds, changes and maintenance blocks.

Can campground software handle monthly and seasonal stays?

Some systems support recurring billing and longer stays. Verify agreement dates, utility charges and how the seasonal site affects the nightly reservation grid.

What should campground reservation software manage?

Compare physical site inventory, dates, length-of-stay rules, guest-selected locations, deposits, seasonal stays, changes, cancellations and check-in. Add-ons and point of sale may be separate parts of the operation.

How should RV parks handle seasonal guests in booking software?

Test the long-term agreement, recurring billing and any utility charges alongside nightly availability. Confirm the seasonal reservation blocks only the dates and sites it should.

How much does CampLife cost?

CampLife Standard starts at $99 a month and Premium at $249, each plus $3.50 per online reservation. Phone reservations are free. Setup is $100, and Gate Integration adds $199 a month.

Does Campspot charge campgrounds a monthly fee?

No. Campspot's Growth Package has no subscription and no per-site charge. It charges the guest a booking fee on online reservations and includes the park's website at no charge.

How much does Hipcamp take per booking?

Hipcamp deducts 15% of each booking for private landowners and 12.5% for parks integrated with a property management system.
