Choose inflatable rental software by inventory availability, delivery rules and booking changes first. InflatableOffice, Event Rental Systems, Booqable and Reservety are options to investigate. A custom build becomes worth assessing when a specific operational gap justifies its build, migration and support costs—not simply because the current tool has a monthly fee.
Inflatable rental management software connects the units you rent with the dates, deliveries and customer orders they belong to. Start by testing availability, setup and collection on the same real booking; a website alone does not run the rental operation.
What the software costs—and where your margin can improve.
Start with the bill and one costly workflow. The comparison is straightforward: recurring software costs you can actually remove, minus the hosting, AI, integrations and upkeep a replacement needs. Time saved is a separate gain, and only becomes margin when the business can use it.

A focused tool · under your control
Pay for the parts this workflow needs.
One time: map the rules, build, test edge cases, move only the data needed and train the people who use it.
Each month: affordable hosting, coding-AI usage, any database or integrations, backups and maintenance. Price these for the actual application; a $0 or low hosting tier is not the total cost.
You control: the code repository, domain, data and service accounts. Someone on your side owns updates, access, recovery and support.
MarginVendor costs removed − the replacement’s full monthly operating cost.
Admin timeFirst target: Inventory and availability. Try two overlapping bookings for the same unit. Check how the system handles a package that shares inventory with individual rentals.
Business valueDurable, documented margin can strengthen a business; buyers still assess risk and whether someone else can run the workflow.
The exact replacement cost depends on scope and usage. Bring your invoice and one frustrating task; we’ll map what can stay, what could be owned and the costs to verify.

Before choosing
Ask the vendor to demonstrate shared inventory across individual items and packages, setup/turnaround boundaries, delivery areas, waivers, and the account-specific price for website/checkout features.
Use this synthetic scenario to evaluate an existing product or a proposed build. These are acceptance criteria, not results from testing the vendors above.
Create one castle and one blower. A package uses both. Record one confirmed booking from 10:00 to 14:00, followed by two hours of turnaround.
Request the castle from 15:00 to 18:00. The system should identify the turnaround conflict. Change the request to 16:00 and confirm the boundary behaves as agreed.
Place the castle in a second package. Confirm that this does not create another physical castle or allow simultaneous reservations.
Cancel the first booking. Verify stock is released according to its status, while the payment record remains traceable. A cancelled booking and a refunded payment are separate events.
Move the relationships, not just the customer list
Ask for separate sample exports of customers, units, package components, future bookings, order lines and payment references. Use original IDs to reconnect each order to its customer and each order line to its equipment. Reconcile future reservations and outstanding balances before comparing the historical totals. Keep a list of excluded attachments, waivers or messages; a spreadsheet export does not prove those came across. Agree how last-minute bookings enter the new system during the overlap period.
Where a first build could stop
A focused first build could connect booking records, inventory allocation and delivery tasks. Payment handling, route optimization and document signing need their own verified scope. Keep the current checkout running until the replacement passes agreed operational and payment tests.

What to verify
Ask providers to demonstrate this workflow using your edge cases. Check which plan includes each step, what costs extra and how your records can be exported.

How do I prevent double bookings for inflatable rentals?
Track the physical unit shared by individual rentals and packages. Reserve it for the event plus any agreed setup, collection and turnaround period. Test an overlapping package booking, a cancellation and a request at the exact availability boundary. A product name appearing twice in a catalog must not create extra stock.
What data should I export before changing rental software?
Request customers, inventory IDs, package components, bookings, order lines and payment references, then check files and signed documents separately. Reconcile future reservations and outstanding balances before canceling access. Export availability and format depend on the vendor and your agreement.
What software manages bounce house and inflatable rentals?
InflatableOffice, Event Rental Systems, Booqable and Reservety are documented options to investigate. Compare inventory availability, deliveries, booking changes and website integration using your own event scenario. Their plans and features differ.
Is inflatable rental software the same as balloon décor software?
The workflows overlap around events and enquiries, but differ in inventory. Reusable inflatables need availability by unit and date. Balloon décor work can also need consumable stock, design pricing and installation labor. Verify those tasks before choosing a rental product.
Can I keep my rental software and change the website?
Possibly. Check domain control, the website agreement and which booking or API access your plan supports. A custom enquiry page can start with a reviewed handoff; live availability requires a verified connection.
Should I build my own inflatable rental management system?
Start by documenting the gap. If existing rental software handles bookings and inventory well, a smaller website or enquiry workflow may be sufficient. Replacing the operational system requires a separate scope for availability, data migration, payments, support and ongoing cost.
How much does bounce house rental software cost?
Published plans run from $35 a month for Booqable Start to $399.95 for Event Rental Systems Elite. InflatableOffice runs $39 to $264 by item count, plus $65 modules.
Does InflatableOffice include a website?
It's an add-on. Website & API costs $39 a month. New customers currently get the 10-item Starter plan at $0 for 3 years.
Which inflatable rental software includes a website?
Event Rental Systems includes a basic website with storefront from its $79.95 Launch tier, though it charges a setup fee it doesn't publish. Reservety includes a storefront from its $59 Starter plan. Booqable charges $29 a month for its Website Builder.
