Car wash software: memberships, POS and multi-site control

$849 / monthworked example · $10,188 per yearSee cost & ownership ↓

Car wash systems often combine lane controls, point of sale, recurring memberships and marketing. Treat these as connected but distinct systems: a customer’s subscription status, the wash equipment state and the transaction ledger must agree even when a lane is offline.

The cost case · Car washes

What the software costs—and where your margin can improve.

Start with the bill and one costly workflow. The comparison is straightforward: recurring software costs you can actually remove, minus the hosting, AI, integrations and upkeep a replacement needs. Time saved is a separate gain, and only becomes margin when the business can use it.

A focused tool · under your control

Pay for the parts this workflow needs.

One time: map the rules, build, test edge cases, move only the data needed and train the people who use it.

Each month: affordable hosting, coding-AI usage, any database or integrations, backups and maintenance. Price these for the actual application; a $0 or low hosting tier is not the total cost.

You control: the code repository, domain, data and service accounts. Someone on your side owns updates, access, recovery and support.

MarginVendor costs removed − the replacement’s full monthly operating cost.
Admin timeFirst target: Wash entitlement. Run one vehicle through each entitlement type and verify limits, expiry and duplicate-use prevention.
Business valueDurable, documented margin can strengthen a business; buyers still assess risk and whether someone else can run the workflow.

The exact replacement cost depends on scope and usage. Bring your invoice and one frustrating task; we’ll map what can stay, what could be owned and the costs to verify.

Trace a membership through the lane and the ledger

Questions to ask and a concrete way to test the answer
What mattersAsk thisThen demonstrate this
Wash entitlementCan the system distinguish a single wash, prepaid pack and recurring plan?Run one vehicle through each entitlement type and verify limits, expiry and duplicate-use prevention.
Vehicle recognitionHow are plate changes, rental vehicles and multi-vehicle household plans handled?Update a plate after a vehicle change. Confirm the old plate is revoked and the member can still resolve a mismatch at the lane.
Payment recoveryWhat happens when recurring payment fails, retries or is cancelled?Simulate a failed renewal and a customer cancellation. Check customer notices and the exact moment lane access changes.
Lane downtimeCan attendants issue, void or later reconcile a wash during an outage?Process a documented manual wash during a lane outage, restore service and reconcile the wash to the right member and site.

Test the membership at the point of service

Use this synthetic member and lane exception to expose gaps between marketing, payment and physical wash operations.

  1. Create a monthly plan with a defined wash limit, one member with two vehicles and a prepaid wash pack for a second customer.
  2. Change one registered plate, then attempt a wash on the retired plate. Verify the attendant has a clear exception path that does not grant duplicate access.
  3. Simulate a failed renewal and a tunnel interruption. Record a manual wash and restore the lane connection.
  4. Reconcile the member’s access, transaction, refund or retry state across the customer account, site report and finance export.

Plan a controlled data move

Inventory current memberships, renewal dates, wash limits, stored payment permissions, vehicle records, site assignments and outstanding disputes. Pilot one location through a billing cycle and lane outage scenario before migrating the full membership base.

Where a first build could stop

Lane access and recurring billing have direct customer impact. Define manual service and refund procedures, restrict payment access, disclose renewal and cancellation terms clearly, and review any vendor performance claims against your own baseline.

Per month$849
Per year$10,188

Where the money goes

The membership club is where the recurring money goes. Rinsed charges $849 a month per location, a $599 implementation fee and a 4% recurring commission on memberships sold through its checkout, and its terms don't allow cancelling mid-term. Nautilus is $650 a site on month-to-month terms, but its website builder only comes with the $1,499 Growth plan.

What to keep

Keep the POS, pay stations and tunnel controls. They run the lane, the gate and the plate reader, and Micrologic licenses its software only on hardware it supplies or approves.

What to verify

Ask providers to demonstrate this workflow using your edge cases. Check which plan includes each step, what costs extra and how your records can be exported.

Questions owners ask

Does car wash software include tunnel controls?

Sometimes products are bundled, but confirm which hardware and software control lane entry, wash equipment, payment and subscription eligibility.

What should a car wash membership demo include?

Test renewal failure, cancellation, vehicle change, wash limits, manual lane operation and multi-site reconciliation—not only enrollment and marketing screens.

How much does Rinsed cost?

Rinsed's Car Wash CRM is $849 a month per location, or $765 on annual billing, plus a $599 one-time implementation fee per location and a 4% recurring commission on Rinsed checkouts. Salespath is $999 a month and Support Agent $499.

How much does DRB SiteWatch cost?

DRB doesn't publish prices for SiteWatch, Patheon or its tunnel software. Its Software Assurance program enrolls Support Group members automatically; opt out before the annual fee is paid, and know that rejoining for an upgrade means paying every skipped year.

Can I cancel my car wash CRM contract early?

It depends on the vendor. Rinsed's order forms can't be cancelled early and auto-renew unless you give notice 30 days before they end. Nautilus runs month to month but needs 30 days' written notice. Micrologic keeps license and support fees due through the end of the contract period.
