My Music Staff and Teachworks are documented options to evaluate for music lesson scheduling and billing. Compare teacher and room conflicts, family accounts, recurring lessons and make-up entitlements using your school’s actual policies. A calendar alone does not establish that tuition and attendance will reconcile correctly.
Music lessons connect more than a teacher and a calendar slot. Schools may also need a room, an instrument, a family billing account and a clear rule for missed lessons. Compare those relationships together.
What the software costs—and where your margin can improve.
Start with the bill and one costly workflow. The comparison is straightforward: recurring software costs you can actually remove, minus the hosting, AI, integrations and upkeep a replacement needs. Time saved is a separate gain, and only becomes margin when the business can use it.

A focused tool · under your control
Pay for the parts this workflow needs.
One time: map the rules, build, test edge cases, move only the data needed and train the people who use it.
Each month: affordable hosting, coding-AI usage, any database or integrations, backups and maintenance. Price these for the actual application; a $0 or low hosting tier is not the total cost.
You control: the code repository, domain, data and service accounts. Someone on your side owns updates, access, recovery and support.
MarginVendor costs removed − the replacement’s full monthly operating cost.
Admin timeFirst target: Teacher, student and room. Can an available teacher be booked into an occupied piano room?
Business valueDurable, documented margin can strengthen a business; buyers still assess risk and whether someone else can run the workflow.
The exact replacement cost depends on scope and usage. Bring your invoice and one frustrating task; we’ll map what can stay, what could be owned and the costs to verify.

Music school & lesson scheduling: the details that matter
Use these questions with a vendor or a builder. The point is to see your own work completed, including the awkward cases.
Questions to ask and a concrete way to test the answer
What matters
Ask this

Teacher, student and room
Can an available teacher be booked into an occupied piano room?
Create two teachers but one required room. Try overlapping lessons and check the room constraint as well as staff availability.
Missed lessons
What is the difference between a cancellation, a make-up credit and a refund?
Apply your example policy to a late cancellation and a teacher absence. Inspect attendance, make-up entitlement and invoice balance separately.
Family billing
Do siblings share a payer without merging their lesson histories?
Create two students with one billing contact, different teachers and different rates. Verify the family invoice and each student’s private lesson record.
Term boundaries
What happens to recurring lessons during a holiday or teacher change?
Skip a school closure, then change the teacher for one occurrence. Confirm that the rest of the series remains as intended.

A text checklist with space to record what works, what fails and what needs a follow-up.
A synthetic evaluation scenario to run with a vendor or builder. These are proposed acceptance criteria, not results of a hands-on product test.
Create two siblings billed to one family account. Give them different teachers, services and lesson times.
Choose a hypothetical policy: an eligible absence earns one make-up lesson but does not itself refund tuition. Record an absence and inspect the separate attendance, entitlement and balance records.
Book and complete the make-up. Check that the credit is consumed once and cannot be applied to another lesson accidentally.
Move one future lesson to a substitute teacher and another room. Verify teacher availability, room availability and what the family sees before sending the updated schedule.
Move entitlements as well as the calendar
Request students, family billing contacts, teachers, rooms, scheduled lessons, attendance history and make-up balances. Preserve the links between siblings and their payer without combining their lesson notes. Reconcile future lessons by teacher and room, then compare invoice balances and unused package or make-up entitlements independently. Decide how archived lesson notes and attachments will remain accessible. Payment authorizations and teacher-pay calculations require their own review rather than an assumption that a calendar export contains them.
Where a first build could stop
A first build could cover enquiries, enrolment or a family-facing information workspace while retaining the teaching and billing platform. A replacement school system needs explicit policies for attendance, credits, recurring lessons and staff compensation. Prove the rules with a sample family before migrating a whole term.

Community music school with 8 teachers and ~200 students, wanting a website
My Music Staff is $16.95 for the first teacher and $4.95 for each additional one, so seven more teachers add $34.65. The website build and SMS reminders cost nothing extra. Per-lesson pricing elsewhere changes the math, since Teachworks adds a fee on every student-lesson taught.
What to keep
Keep it. At this price there's little an audit could cut, and we'd say so. The one thing we'd check is whether you can take your site and student records with you if you ever change software.
What to verify
Ask providers to demonstrate this workflow using your edge cases. Check which plan includes each step, what costs extra and how your records can be exported.

Questions owners ask
Is a make-up lesson credit the same as a refund?
Not necessarily. A make-up credit can be an entitlement to another lesson without changing the tuition amount owed. Define your policy, then inspect attendance status, make-up balance and invoice balance separately. Do not let an import silently turn one kind of credit into another.
What needs to move when a music school changes software?
Students, family payers, teachers, rooms and future lessons are the starting records. Attendance, unused lesson packages, make-up credits and invoice balances need separate reconciliation. Preserve each student’s history and confirm how payment arrangements and teacher compensation will continue.
How much does music lesson scheduling software cost?
My Music Staff and TutorBird both start at $16.95 a month for one teacher and add $4.95 per extra teacher. Teachworks starts at $16.49 plus a per-lesson fee, and Jackrabbit Class starts at $49 and scales with student count.
Does My Music Staff include a website?
Yes. My Music Staff includes a website build and SMS reminders at no extra charge. The site is a template on their platform, so it stays with them if you switch.
Is per-lesson pricing expensive for a music school?
It can be. Teachworks Starter is $16.49 a month plus $0.320 for every student-lesson taught, so the bill grows with every hour on the calendar. Growth lowers that to $0.189 per lesson at $47.99 a month.
