A gymnastics program has to keep class placement, skill progression, attendance, makeups, coach schedules and family accounts in step. Compare platforms by following a student from enrollment through a skill evaluation, absence and makeup, then reconcile tuition and communicate the update to a parent.

What the software costs—and where your margin can improve.
Start with the bill and one costly workflow. The comparison is straightforward: recurring software costs you can actually remove, minus the hosting, AI, integrations and upkeep a replacement needs. Time saved is a separate gain, and only becomes margin when the business can use it.

A focused tool · under your control
Pay for the parts this workflow needs.
One time: map the rules, build, test edge cases, move only the data needed and train the people who use it.
Each month: affordable hosting, coding-AI usage, any database or integrations, backups and maintenance. Price these for the actual application; a $0 or low hosting tier is not the total cost.
You control: the code repository, domain, data and service accounts. Someone on your side owns updates, access, recovery and support.
MarginVendor costs removed − the replacement’s full monthly operating cost.
Admin timeFirst target: Level and skill progression. Create a fictional class level with three skills. Record one student as working toward a skill and another as complete; inspect coach and parent views.
Business valueDurable, documented margin can strengthen a business; buyers still assess risk and whether someone else can run the workflow.
The exact replacement cost depends on scope and usage. Bring your invoice and one frustrating task; we’ll map what can stay, what could be owned and the costs to verify.
Build the member and class workspace, then enrollment, attendance and renewals. Verify payment authorization separately before moving recurring charges.

A gymnastics school comparing class enrollment, recurring billing, attendance, family portal and student skill progress.
Jackrabbit documents gymnastics-specific registration and billing alongside customizable skills and levels, progress reports and parent updates.
Before choosing
Load a sample level curriculum and evaluate it on a phone from the coach and parent views. Confirm makeups, capacity, billing and team workflows on your plan.

Questions to ask and a concrete way to test the answer
What matters
Ask this
Then demonstrate this
Level and skill progression
Can coaches assess skills against the gym’s own level criteria and share appropriate progress with families?
Create a fictional class level with three skills. Record one student as working toward a skill and another as complete; inspect coach and parent views.
Enrollment and capacity
Can registration enforce prerequisites, age groups, class size and waitlist rules?
Try enrolling an ineligible student in a full class and check the exact message, waitlist behavior and staff override record.
Attendance and makeups
Do absence, makeup eligibility and replacement class capacity follow written gym policy?
Record an absence, apply the gym’s eligibility window and attempt to reserve a makeup in a class with one seat left.
Family billing
Can tuition, registration fees, discounts and family-wide balances be understood and reconciled?
Set up two siblings with different start dates and a discount. Compare schedule, invoice, autopay and account balance after a withdrawal.
Take these questions to your next demo.
A text checklist with space to record what works, what fails and what needs a follow-up.
Run a student’s first term from enrollment to level review
This synthetic example checks program rules and family communication, not coaching outcomes or a vendor’s actual performance.
Register two fictional siblings in different levels. Apply one family discount and verify class prerequisites, capacity and recurring charges.
Record attendance for one sibling and an absence for the other. Apply your written makeup deadline and reserve a class with available capacity.
Have a coach record three skill statuses for the first student and add a parent-visible progress note. Check that staff-only notes remain private.
Move the student to the next level, reconcile any tuition change and test the family statement and automatic payment schedule.
Plan a controlled data move
Import active families, student and guardian relationships, classes, levels, skill definitions and histories, attendance, makeup credits, staff access, autopay tokens where supported, balances, discounts and future registrations. Reconcile a sample family ledger and skill history from export to the new system before opening enrollment.
Where a first build could stop
Software can record attendance and skill progress, but it cannot determine safe coaching, athlete readiness or supervision needs. Keep qualified coaches responsible for placement, spotting, safeguarding and decisions about training.
