Compare dental practice management software by chart and image continuity, claim handling, family/insurance relationships and conversion scope. Open Dental, Dentrix and Curve publish workflow documentation worth testing against your practice. Preserve the current system until clinical and financial records reconcile.
Dental software connects clinical records with scheduling, treatment, claims and patient accounts. Compare the clinical record and the business ledger together: an attractive schedule does not prove that a claim, image or payment history will move cleanly.
What the software costs—and where your margin can improve.
Start with the bill and one costly workflow. The comparison is straightforward: recurring software costs you can actually remove, minus the hosting, AI, integrations and upkeep a replacement needs. Time saved is a separate gain, and only becomes margin when the business can use it.
Current software · researched prices
General dentistry software runs $97 to $5,000 a month across the 6 vendors that publish prices. A website-related price point in the research is $199 a month; check whether it is a plan rate or a separate fee. 74 of 115 vendors have quote-only pricing in our research.
Published starting prices are not a like-for-like quote. Confirm the plans, seats, add-ons, payment fees and setup your workflow requires.
A focused tool · under your control
Pay for the parts this workflow needs.
One time: map the rules, build, test edge cases, move only the data needed and train the people who use it.
Each month: affordable hosting, coding-AI usage, any database or integrations, backups and maintenance. Price these for the actual application; a $0 or low hosting tier is not the total cost.
You control: the code repository, domain, data and service accounts. Someone on your side owns updates, access, recovery and support.
MarginVendor costs removed − the replacement’s full monthly operating cost.
Admin timeFirst target: Clinical chart continuity. Can staff find the current odontogram, treatment plan, notes and linked images from the correct patient and visit?
Business valueDurable, documented margin can strengthen a business; buyers still assess risk and whether someone else can run the workflow.
The exact replacement cost depends on scope and usage. Bring your invoice and one frustrating task; we’ll map what can stay, what could be owned and the costs to verify.
Scope administrative scheduling and intake first. Clinical records require a separate security, regulatory and operational assessment before they can be included.

Questions to ask and a concrete way to test the answer
What matters
Ask this
Then demonstrate this
Patient and clinical record
Can we find the right patient, visit, charting, notes and images without losing their relationship?
Use a synthetic patient with two visits, a treatment plan and an image reference. Check what staff can view from the schedule, chart and account.
Claims lifecycle
How are missing data, secondary coverage, acknowledgements and outstanding claims handled?
Create a sample procedure and primary claim, then inspect validation, sent history, a simulated rejection and the corrected resubmission.
Patient balance
Can staff explain the balance after insurance and patient payments are posted?
Post a sample ERA allocation across two procedures. Reconcile billed, adjusted, insurer-paid and patient-responsibility amounts.
Devices and integrations
Which imaging, e-prescribing, clearinghouse and payment connections are supported on this plan?
Test the actual devices and accounts in a vendor-led sandbox. Record versions, license fees, support owner and what happens if a connection is unavailable.
Take these questions to your next demo.
A text checklist with space to record what works, what fails and what needs a follow-up.
Use synthetic patient and payment data in a vendor demo. Do not use real patient information in an evaluation environment.
Create a fictional patient and family guarantor with a primary and secondary plan; check which fields belong to each record.
Enter a sample exam and procedure, attach a test image, and produce a treatment plan. Verify the chart and account show the same work.
Create and validate the primary claim, inspect its history, then model a rejection and corrected submission.
Post a sample insurer payment and patient payment. Reconcile the remaining balance to the original procedures.
Reconcile both clinical and financial history
Ask each candidate for a written conversion inventory before signing. Identify patients, guarantors, insurance plans, charting, treatment plans, clinical notes, image files, prescriptions, claims, ERAs, payment allocations and future appointments. Confirm how original identifiers and attachments map. Have a clinician check clinical continuity and a billing lead reconcile open claims and balances in a sample before the cutover; do not infer completeness from a patient count.
Where a first build could stop
A custom build should not replace the clinical record, e-prescribing, claims or imaging workflow without a validated clinical and privacy scope. If a clear gap remains, assess a narrow patient-facing intake or reporting tool that hands off into the practice system, with an accountable support and recovery plan.

What does the software cost?
General dentistry software runs $97 to $5,000 a month across the 6 vendors that publish prices. A website-related price point in the research is $199 a month; check whether it is a plan rate or a separate fee. 74 of 115 vendors have quote-only pricing in our research.
Where the money goes
A practice usually pays twice: once for practice management, like Open Dental at $199 a month per location, and again for a website from a dental web agency. Published website prices start at $97 a month from Smile Sites, while ProSites, Officite and Smile Marketing quote on request. Phones and texting are a third line, and Weave keeps its tier prices behind a form.
What to keep
Your practice management system holds charts, imaging and the schedule, and nobody sensible rips that out for a website. Keep it.
What to verify
Ask providers to demonstrate this workflow using your edge cases. Check which plan includes each step, what costs extra and how your records can be exported.

These agencies appear in the business-category research but do not yet have a full software pricing profile. Rates are shown only when verified from the provider's own source.
Do not assume it does. Ask for the exact image formats, linked metadata, device compatibility and conversion limits in writing. Have staff verify a sample of images from the new patient chart before relying on the converted record.
Should a dental practice build its own management system?
Start by documenting the specific workflow gap. Clinical charting, claims, privacy, backups, integrations and support create substantial obligations; a small connected intake or reporting layer may be more appropriate if the core practice platform works.
What should I compare in dental practice management software?
Compare the patient chart, treatment plan, imaging, claims and payment history as one connected workflow. Test family and insurance relationships, clearinghouse behavior and every imaging device your practice uses. Confirm which features and support are included in the plan you would sign.
What dental records should I check before migrating?
Use vendor-specific conversion documentation and a written scope. Reconcile patient identities, clinical notes, images, treatment plans, open claims, payment allocations and scheduled appointments. Check a representative sample with clinical and billing staff before changing the live workflow.
How much does a dental website cost per month?
Published prices run from $97 a month at Smile Sites to $199 a month at FlashCrafter, which comes to $2,388 in year one with no setup fee. ProSites, Officite and Smile Marketing don't publish prices, so you have to ask for a quote.
How much does Open Dental cost?
Open Dental is $199 a month per location on a 12-month contract. That covers phone support, software releases, imaging modules and patient communication tools. It doesn't include a website, so most practices buy one separately.
Does ProSites publish its pricing?
No. ProSites quotes each practice individually, and so do Officite and Smile Marketing. Ask for the monthly fee, the setup fee and the contract term in writing before you sign.
